Email Setup - Outlook

Microsoft Outlook is the most common mail client that you will run into on the Windows OS. Here is how you can set up your domain based email in Outlook.

Before you start

You need to first set up your email address in cPanel. You can find information on that process here. Make a note of your email address and your email password so you can reference them when you go through the instructions.

Setting up a new account

If there is not currently an email set up on this app, it will open at the Add Account screen by default.

In order to set up a new account on Outlook:

  1. Click on File in the upper left corner.
  2. Click on + Add Account (Note If you do not see this option when clicking on File, you are most likely using an older version of Outlook, try this guide instead)
  3. A new popup window will open
    • Email address: enter the full email address
    • Click on Advanced options and ensure Let me set up my account manually is checked
    • Click on Connect
  4. Even through you requested to set up manually, Outlook will try to set it up automatically.
  5. Once it loads, you should be looking at a list of different mail protocols. Choose IMAP (keep messages synced to the server) or POP (download messages locally).
  6. You should now be looking at the server settings.
    • Incoming Mail
      • Server: mail.example.com (replace example.com with your domain)
      • Port: 995 for POP, 993 for IMAP
      • Encryption method: SSL/TLS
      • Require logon using Secure Password Authentication (SPA): must not be checked
    • Outgoing mail
      • Server: mail.example.com (replace example.com with your domain)
      • Port: 465
      • Encryption method: SSL/TLS
      • Require logon using Secure Password Authentication (SPA): must not be checked
  7. Click Next once you have everything entered correctly.
  8. You will be prompted for the password. Enter it and click Connect.

You should now get the confirmation screen that the account is set up and ready to use.

Modifying an existing account

If you need to modify an existing account, you will first need to access the Email Accounts screen

  1. Click on File in the upper left corner.
  2. Click on the Account Settings block in the center of the screen.
  3. Click on Account Settings in the drop down menu Note If you do not see this option when clicking on File, you are most likely using an older version of Outlook, try this guide instead.

You should now be in the Account Settings screen. You will see a list of all the email accounts that are set up in this app.

  1. Click on the email account you wish to edit to highlight it.
  2. Click on Repair on the menu bar above the email list.
  3. A window will pop up with the email address. Click on Advanced Options and ensure Let me repair my account manually is checked.
  4. Click Repair
  5. You should now be looking at the Server Settings

You will see a section for both Incoming and Outgoing server settings. You can click the arrows to the right of the titles to show or hide the settings.


Incoming Settings

  • User name: the email address
  • Password: the email address password
  • Server: mail.example.com (replace example.com with your domain)
  • Port: 995 for POP, 993 for IMAP
  • Encryption method: SSL/TLS
  • Require logon using Secure Password Authentication (SPA): must not be checked

Outgoing Settings

  • Server: mail.example.com (replace example.com with your domain)
  • Port: 465
  • Encryption method: SSL/TLS
  • Require logon using Secure Password Authentication (SPA): must not be checked
  • My outgoing (SMTP) server requires authentication: this should be checked
  • Use same settings as my incoming mail server: this should be selected

Once the settings are all set correctly, click Next. The app should now start repairing the settings. If correct, you will see the Account successfully repaired screen. Click Done to finish.

Still having issues

Other then the setting or password getting changed, there is typically not much that can go wrong with Outlook. However, recently, it has been following in MacMail's footsteps with the random setting changes after updates.

Follow the same troubleshooting steps as other mail clients:

  • Restart the App
  • Restart the machine
  • If all else fails, try removing the account and adding it back. This option should only be used with IMAP accounts, as deleting a POP account can lead to lost emails.
  • If you do decide to delete the account, you may get an error regarding the Data file. If you do get this error, you only need to click on the Data File tab and create a new file. The default settings will work fine.
